Volunteer Requirement Policy for In-house Players

Gurnee Youth Baseball is a volunteer organization that requires a great deal of support and cooperation from participants to run smoothly. GYB requires that families of all Shetland, Pinto, Mustang, Bronco and Pony players provide volunteer (unpaid) work to help run our organization.

A volunteer (over the age of 16) is required to donate one time “slot” of work per registered player (time slots vary, typically 3-4 hours). Serving as a Head Coach, 1st Assistant Coach, 2nd Assistant Coach, Team Parent  or Board Member fulfills the volunteer work requirement for all your family’s players for the season.

  • An alternative to volunteer work is available via a volunteer exemption buyout fee. This is a one-time offer available only at the time of registration.  You will not have the option to take advantage of the buyout at a later date. The buyout option is NON-REFUNDABLE—there are no exceptions. If you selected the buyout option and decide later that you would like to volunteer in another capacity, while appreciated, this buyout cannot be refunded.

  • No children will be allowed to accompany you while you are fulfilling your volunteer time.
     
  • All cancellations must be completed online, 48 hours in advance, so attempts can be made to find another volunteer. If you fail to show or provide a replacement for your sign-up slot, you will forfeit your volunteer deposit.
     
  • In the event of a “rain-out” for concessions or outdoor activities, affected volunteers must submit their rained-out time onlineThe Concessions Manager will attempt to provide you with a first opportunity to work the make-up date for rained-out games. However, finding alternative slots to complete your volunteer time is your responsibility.

    If the make-up date for which you are signed up is also rained-out, or your second attempt for which you are signed up is also rained-out, you must submit the Rained-Out Volunteer Time form a second time. Only through completing the online form and after your two attempts have been verified as rained-out, will your volunteer requirement be considered fulfilled due to rain-outs. Dates and signups will be verified—you must be listed in both rained-out time slots on SignUpGenius.

  • All volunteer slots will be managed online. All volunteers must register their time online through SignUpGenius and other online forms provided by the Volunteer Coordinator or Board. Coaches do not have the authority to create volunteer slots and are not responsible for registering your volunteer commitment.

  • Please be certain to check in and check out with the coordinator. In order to receive credit for fulfilling your volunteer time, you must complete an online volunteer work form while on site.

  • Once logged in to SignUpGenius, click the circle with your initials or picture in the upper right hand corner and select “Settings
  • You must enter a valid mobile phone number and carrier under “Profile” before selecting text reminders
  • Once set, under “Notifications” you will see an option where you can check to receive email reminders, text reminders or both
  • You can also enter your preferred notification time to receive the reminders

Volunteer Descriptions

BOARD MEMBER – Elected positions (every August) Terms run for 2 years (alternating years of which positions are up for election). Required monthly meetings, Board Member on Duty at games, plus any additional responsibilities on an as needed basis.

HEAD COACH / ASST. COACH – MUST COMPLETE AND PASS A BACKGROUND CHECK TO BE ON THE FIELD WITH THE CHILDREN. A parent who is selected by the league to head coach a team has the option to select two additional parents to be their assistant coaches.

CONCESSIONS - Includes preparation and selling of food items at concessions stand for 3-4 hours. May also include selling food items at each field using the concessions food cart for transportation. Also includes stand clean up when concessions closes for the day.

PREPARATION OF FIELDS –  Field set-up for upcoming season. Duties may include, but are not limited to: painting, spreading dirt, hanging nets, etc.

SPECIAL EVENTS – Duties may include participating in one of the following events: pancake breakfast, Little League Night

EQUIPMENT HANDLING – If done in the spring, will be responsible for dividing all equipment up and insuring all coaches receive their equipment bags. If done in the fall, will be responsible for equipment inventory and separation of equipment for winter storage.

FIELD DAY COMPETITION VOLUNTEER for SHETLAND league – Event occurs in June. Includes assisting with the various baseball competitions, recording results, and or helping with set-up or clean up of event day.

TEAM PARENT – (1 person per team that will be personally notified) Will be responsible for items such as snack schedule, getting out team information to other parents, etc.

  • Distribute any paper communications or material to parents in a timely fashion. Monitor the website for important updates to share with parents.

  • Facilitate getting names on jerseys if parents and or head coach demonstrate interest. Includes coordinate and managing collection of extra expense from parents.

  • Obtain permission from parents to create and distribute a Team Roster. This should include each player’s name, home address, phone number, parent’s names and GYB website address.

  • Create a snack list for games and distribute to parents if the team show interest.

  • Confirm all parents receive a current copy of the game schedule. Perform updates to schedules and redistribute as needed, including rainouts & makeup games.

  • Assist the coaching staff as needed. This could involve maintaining control of the players while on the bench, maintaining the correct batting order or anything that will assist the team to perform in an effective manner.

  • Safety! Help ensure team is following GYB Safety Guidelines, making certain that no one is taking batting practice or handling a bat outside of the practice area or playing field.

  • Remind parents that it is their responsibility to fulfill the volunteer requirements.

  • Coordinate an end of the year gift for the coaches if parents demonstrate interest.

  • If parents show interest, arrange and coordinate end of season team party or outing.
